Administrative Assistant / Receptionist - English speaking (m/f)

for their Offices in Luxembourg

Your qualifications:

Education and Experience:

- Holder of a High School diploma

- Fluency in English is mandatory

- Good knowledge of French and Italian is an asset

- Any other language is considered as an advantage

- High knowledge of administrative and clerical procedures

- Extensive Knowledge of computers and relevant software applications: Microsoft Word, Outlook, PowerPoint, Excel

- Organisational and presentation skills

- Good knowledge of customer service principles and practices


- Verbal and written communication skills

- Customer service orientated

- Information management skills Personnellement- Ability to work well under pressure, often juggling several tasks at once

- Very good organized and anticipatory planning

- Detail orientated

- Able to take initiative

- Highly reliable

Votre mission

Your major responsibilities will consist in:

- Answer telephones and provide information to callers, take & relay messages, or transfer calls to appropriate individuals

- Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs

- General administrative and clerical support

- Operate electronic mail systems and coordinate the flow of information both internally and with other organizations

- Coordinate conferences, meetings and rooms including maintenance of the scheduling and event calendars

- Schedule and confirm appointments and travel reservations & accommodation for clients, customers, or staff

- Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spread sheet, word processing, database management, and other applications

- Order and dispense stationery and equipment supplies

- Ensure knowledge of staff movements in and out of organization

- Maintain the reception area
